Your role as Administration & Finance Back Office Lead of Global Rail Academy & Media
- Ensure correct and timely invoicing for multiple business units incl. track and monitor automatic invoicing
- Cash-flow management
- Budgeting and management of back office/admin costs
- Provide periodical and ad-hoc status reports to local management and HQ in Vienna
- Prepare data and documents for accounting and payroll to external service providers
- Manage bank and credit card transactions
- Manage intercompany transactions
- Contract management (e.g. ensure timely renewal, review payment terms)
- Support onboarding of new employees
- Monitoring of staff time recording (incl. vacation, sick days)
- Liaison with other group entities and partners to ensure efficient and effective communication within the group
- Support the administrative coordination of global subsidiaries in the business line
- Review of internal workflow and procedures and support implementation of Group ERP system in the respective area
Your profile
- Proven controlling and cash-flow management skills and experience (minimum 5 years)
- High level of fluency in German and English, both written and spoken language (able to hold online and in person meetings in both languages)
- Strong knowledge of German and international invoicing and banking standards
- Basic knowledge of German accounting, tax, and labour law requirements
- Ability to quickly identify potential issues and communicate them effectively
- Ability to communicate with external consultants and authorities in an efficient manner
- Hands-on, willing, and able to deal with local and international partners on a daily basis (e.g. trainers, accountants, lawyers)

- Experience in a start-up environment is a plus
- You proactively solve issues
- You are ready to take initiative and are used to working independently in a matrix organization
